In accordance with the North Carolina Vacation Rental Act, each guest of High Mountain Cabin Rentals will receive a Vacation Rental Agreement for their review and signature. Please take the time to read the entire policy below and the Rental Agreement which will be emailed, faxed or mailed to you once you book a reservation. Your acceptance of the rental agreement means acceptance to all the items in this policy, in addition to the terms of the Rental Agreement. We will be happy to answer any questions you may have!
Reservations may be made by calling our toll-free line at 866-931-6210, local number 336-846-1785, in person at our Jefferson office or online at www.HighMountainCabinRentals.com through our secure site. We accept Visa, MasterCard, Discover, and AMEX cash, check (14 days in advance of arrival), or money orders.
Rates and amenities on this website are subject to change without notice. Rates quoted are for up to the maximum number the house sleeps. Rates vary according to the season and holiday, thereby assuring vacationers the best rate possible. All rates are subject to a $35 reservation fee and state and local tax which will vary by county (7.75%-13.75%).
A two-night minimum is required for most homes. Holidays and the month of October may require three nights or more. Some homes are only rented by the week during peak seasons.
Check-in time at 4:00 p.m. EST. While we make every effort to have your cabin ready promptly, during peak season, there may be a slight delay and your patience is appreciated. All good things must unfortunately end! Check-out time is 11:00 a.m. EST. Early check in or late check out is available for an additional charge. If there is a back to back reservation, early check in and late check out will not be available. Arrangements for this MUST be made at the time of reservation. Upon check-out, please leave home in the same condition as when you arrived (unless housekeeping arrangements have been made), including but not limited to, cleaning of grills, if used. If departing on a Sunday or holiday, two bags of trash may be left bagged in outside trash cans, or in kitchen area. A member of our Departure Inspection Staff will remove all ashes from wood burning fireplaces. You must be out of the home by 11:00 AM. Failure to comply with these requests may result in deductions from your security deposit. Early check in and late chek out times are available for an additonal fee. We can not guarantee this due to back to backs. If you pay for an early check in or late check out and there is a back to back, you will be refunded the cost of this fee.
The directions and lock box code will be emailed to you 5 days prior to arrival. A key is provided to your rental unit in a lockbox (unless your rental unit has an electronic lock in the door). We ask that you leave the key in the lockbox at all times. There will be an additional key inside for you to use. If you take the key home with you or misplace it there will be a $25.00 charge for replacement. There will be a minimum $25.00 charge for lockouts.
A signed rental agreement and 50% of the rent, the $45 damage insurance, plus $35 reservation fee is required upon booking. Balance of payment is due 30 days prior to arrival.
If you find you must cancel, please do so immediately. If canceled, the advance rent payment will NOT be refunded, unless the property is re-rented for the same time period. If the cabin rebooks, the tenant will receive the advance rent payment less $50 cancellation fee and $35 processing fee. If tenant fails to arrive by 11:00 a.m. on the day following the scheduled arrival day, they forfeit any advance rental payment. Failure to pay unpaid balance forfeits all advance payment and reservation rights. No refund of unused days in the event of late arrival or early departure. NO REFUNDS DUE TO THE WEATHER!
All our properties are privately owned. Descriptions, bed sizes, amenities and names of cabins are subject to change without notice. Your cabin will be inspected prior to your arrival to ensure that all equipment is in good working order. In the event of a mechanical failure, we will make every effort to have all reported malfunctions corrected as promptly as possible. Neither the rental company nor the property owner will be obligated to give replacements or refunds in the event of failure or absence of any item, or for any public utility including television service. No refunds will be given due to early departure. This includes departures due to inclement weather. You are responsible for the entire booking once your reservation has been made. All reservations become final 72 hours upon check-in time / No cancellations, No changes, No refunds.
Housekeeping fees vary depending on the size of the cabin. The cleaning fee is optional but should you choose not to pay the cleaning and laundry fee, you will be expected to leave the home in check in condition, including but not limited to sanitizing bathrooms, mopping floors, washing & folding linens, cleaning kitchen and leaving appliances, stove, microwave, etc. clean and ready for the next guest. All units are inspected after each stay and the unit MUST be left in check in condition by the inspector's standards to avoid being charged a cleaning fee. Housekeeping arrangements must be made in advance to avoid additional charges.
We do have some homes that allow pets. We require an additional $50 non-refundable pet fee (per pet) if a pet is brought to a home that allows pets. This allows for additional disinfecting and extermination of the home after pet visits. Bringing pets MUST be arranged at booking. In addition to all normal charges and fees, pet owners are liable for any damages caused by pets.
Smoking is NOT permitted inside any of the homes. Smoking is only permitted on outside porches, decks and patios. We ask that renters dispose of cigarette butts in a clean and safe manner. If it is determined that smoking did occur inside a non-smoking home, an additional fee of $200 will be charged against your damage security deposit or credit card to cover the cost of smoke removal and any damages incurred.
The occupancy of each rental unit is designated on the individual confirmation descriptions. This number, as it appears on your confirmation lease, is the MAXIMUM total occupancy. Children are counted in total occupancy unless they are under age two. Over-occupancy is considered a SERIOUS VIOLATION of your lease and you will be asked to leave. No refund will be given. Any guest having house parties, found with non-paying overnight guests, disturbing neighbors with loud unnecessary behavior or found with an unauthorized pet will be evicted with no refund and/or prosecuted. Home Owners reserve the right to set a minimum occupancy.
Guests assume full responsibility for all damages, excessive cleaning charges, or any missing items including linens and towels. Please read the departure instructions in the unit. If these procedures are not followed an excessive cleaning fee will be charged.
Hot tubs will be inspected after each rental. If any items such as food, alcohol, soaps or bath products, etc. are found in the hot tub, you will be charged an excessive cleaning fee of $150. Damage to any cover will result in a minimum $500 charge. Covers should remain on the hot tub at all times when not in use. Children under the age of 16, pregnant women and persons with heart conditions or skin sensitivities should not use the hot tubs.
A number of our cabins offer the use of fireplaces in the home. Be advised that High Mountain Cabin Rentals does not provide wood for wood-burning fireplaces at any time. A select few of our homeowners will, at times, offer a complimentary supply of wood. Gas fireplaces are meant for use in the months of January thru April and October through December.
Most homes provide either a gas or charcoal grill. Grilling is only permitted in units that provide grills and in an area away from the home. If the propane tank is empty or you run out, please call our office. Charcoal is the tenant's responsibility. Grills must be cleaned before tenant check-out to avoid security deposit charge.
Mountain roads can be tough at any time of the year. We do not guarantee any road surface conditions. Most roads in our area are well maintained, but they are curvy and steep. Some units may have gravel drives or roads. While these roads are routinely maintained, they may be bumpy at times. In the late fall, winter, and early spring it is not uncommon to occasionally have hazardous road conditions. It is strongly recommended that all guests during these seasons have four-wheel drive and/or chains. Winter road conditions and maintenance are not guaranteed. We do not refund due to road conditions. You are responsible for your transportation. We cannot provide any transportation for guests nor are we responsible for any towing charges you may incur during your stay.
New construction is a part of the mountains of North Carolina. If your rental home is near new construction, please: be understanding. We will attempt to contact the contractor concerning noise, start times, etc., if necessary, but no refunds or moves can be made.
North Carolina Real Estate Law requires all tenants to check smoke detector operation upon arrival and notify office of any malfunction in writing. Some items to bring that we do not furnish and that may make your stay more enjoyable:
Please understand you are in the Blue Ridge Mountains of North Carolina, and you may occasionally have "uninvited guests". Refunds will not be given for visits from these 'uninvited guests'.
We make every effort to locate and return lost items, but will not be responsible for things you lost that we don't find! When you leave something behind, call High Mountain Cabin Rentals and we will return it C.O.D. if we find it! Lost and found items unclaimed after thirty days are turned over to local charities.
All monies received by agent will be held in a non-interest bearing trust account with Fifth Third Bank, West Jefferson, NC, a federally insured institution. Please be aware that High Mountain Cabin Rentals receives compensation for such services as trip interruption insurance, and other administrative fees. We reserve the right to substitute comparable accommodations without notice or liability should the unit be out of order. High Mountain Cabin Rentals will not be responsible for any accidents occurring on or because of rental property. Every effort has been made to assure that all descriptions, prices, and locations are accurate. However, descriptions, prices, and locations can change without notice. High Mountain Cabin Rentals will not be responsible for errors or changes made by printing errors, homeowners, or even nature.
